Job Description
Position Title: Marketing & Special Events Assistant
Title of Immediate Supervisor: Director of Marketing & Special Events
Duties and Responsibilities
Project Playhouse fundraiser:
- Be responsible for all volunteers in attendance at each Astros game which would include recruiting, tracking, reminding, and instructing volunteers.
- Promote raffle ticket sales through email blasts and weekly newsletter. Encourage board members to sell raffle tickets and track those sales. Also attend GHBA sub-committee functions (BABA, RMC, CBC, AC) to promote the playhouse and sell tickets.
- Prepare all materials for raffle tickets sales at Minute Maid Park (press packets, David Weekley buttons for aprons, volunteer instructions, bank bags, ticket bundles, marketing materials, etc.)
- Organize and coordinate the playhouse move into Minute Maid Park.
- Work with marketing company to ensure marketing materials for raffle ticket sales are correct and produced on time.
- Attend as many Astros home games as possible during the raffle ticket sales event. Manage the volunteer's activities, ticket sales and banking as well as set up and tear down each night.
- Manage all online ticket sales HomeAid's website. This would include activities such as ensuring website is set up correctly for online ticket sales.
- Keep weekly accounting of all raffle ticket sales.
- Organize and coordinate playhouse move out of Minute Maid Park.
- Key presentation
- Perform audit of ticket sales.
- Contribute feedback during Project Playhouse debrief meeting.
Donor Database:
- Maintain donor database with names of ticket purchasers from Project Playhouse. Also enter all past donors to HomeAid into database.
Meetings Coordination:
- Reserve meeting rooms, send out meeting reminders, prepare any meeting materials and order lunch if necessary.
Dedications and Groundbreakings:
- Be responsible for sending out invitations and tracking rsvp's to event.
- Help prepare any necessary materials for the event such as vendor appreciation certificates, food, check-in materials, press packets, programs.
Marketing Materials Organization:
- Keep all current marketing materials organized by year, vendor, and agency.
Job Requirements
Eligible interns must meet the following Volunteer Houston criteria:
- Be enrolled as a full-time (12 or more credit hours), undergraduate student; and
- Be returning to school for the fall semester after their internship as either a sophomore, junior or senior; and
- Cannot be an immediate family member of any employee or board member of ExxonMobil, Volunteer Houston, HomeAid Houston, or GHBA staff
- Be available on June 3 to attend an ExxonMobil CSJP Kickoff Event
- Be available on June 16th to attend an Intern Development Seminar at Montrose Counseling Center
- Be available on either June 29, 30, or July 1 to participate in an agency project
- Be available on July 15th to attend an Intern Development Seminar
In addition, the intern must meet the following HomeAid Houston criteria:
- Be available to work from June 1 through Mid-August
- Be available on Saturday, June 12th and Sunday, June 13th to work at the GHBA New Home and Remodeling Show and help sell Project Playhouse raffle tickets
- Be available to work some evenings and weekends from July 23 through August 19 at the Houston Astros games at Minute Maid Park
- Have business casual clothing appropriate for an office environment to wear Monday through Thursday
- Sign a media release to allow photos to be posted on HomeAid Houston's website, The Houston Chronicle, the Houston Builder magazine, and any other media outlets which HomeAid Houston may want to use for marketing purposes
- Have a cell phone which can be used for business purposes and reliable transportation
- Have all job application-related forms turned in by April 15th; intern must be hired by April 30th
